How to export your data from Yardi Breeze
You export Yardi Breeze data yourself, through the reports and screens inside the software. Yardi's Terms of Use say you may copy and export your data at any time using the standard functions and reports, and also that Yardi will not deliver the data to you. Access ends when your final term does, so the export has to be finished before then. Checked against the Yardi Breeze Terms of Use on 2026-10-05.
The steps
- Find your deadline. Yardi's terms say that at the end of your final term, access to the software and your data ends immediately, without further notice, and that anything you need to keep has to be saved before then.
- Export the general ledger. Codat, an accounting integration company, documents the path in its Breeze guide: Reporting, then Financial, then General Ledger Detail, exported to Excel. Set the date range to cover every year you need.
- Export invoices and payments. The same guide uses Analytics, then Transaction Register: set Transaction Type to Invoice Register for bills, or Check Register for payments, and use the Export (Excel) icon.
- Export your vendors. Go to Contacts, then Vendors, click Filter/Display, and use Export to save the list to Excel.
- Export tenants, leases, and the rent roll. Yardi keeps its help center behind a login, so we cannot point to a public menu path for these. Run the reports that list your tenants, lease terms, deposits, and balances, and export each one.
- Fill the gaps with ad hoc reports on Breeze Premier. Yardi says ad hoc reports are built directly in Breeze Premier and export to screen, Excel, or PDF. Custom reports built by Yardi's team are a paid service.
- Check the files while you still have access. Open the exports and match a few known numbers against the live account. After the term ends there is no going back in to look.
After the term ends
- Yardi does not hand the data back. The terms say Yardi may permanently delete the data and will not deliver it to you. Saving it is on you.
- Deletion comes 45 days later. The terms say that 45 calendar days after you cancel or terminate, all data related to your use of the software is deleted and cannot be recovered.
