How to export your data from Buildium

Buildium lets you export your own data from inside the app, and you should do it before you cancel, before a migration, or just as a backup. The whole thing takes about fifteen minutes. Verified against Buildium's own help article on 2026-08-05.

The steps

  1. Open the export screen. Go to Settings, then Export Data.
  2. Download every category. Buildium groups exports into Rentals, Associations, Accounting, Tasks, and Communication. Download each one you use, even the ones you think are empty.
  3. Save the files somewhere safe. Your browser downloads each export as a file. Put them all in one folder, dated, before you touch anything else.
  4. Download documents separately. Leases, inspection photos, and other uploaded files are not part of the data export. Download the documents you need to keep from their own screens.
  5. Spot-check before you cancel. Open the rentals and accounting files and confirm your properties, tenants, and ledger history are actually in them. Exports are much harder to get after the account closes.

What you get, and what you do not

The exports cover your structured data: properties, units, tenants, leases, and the accounting ledger. Three things deserve extra attention:

Keep access one extra cycle

If you are leaving, keep the account alive for one billing cycle after the export. A read-only reference window catches the field you forgot to export, and it costs one month, not a support ticket against a closed account.

Or skip the spreadsheet wrangling. We move your entire Buildium portfolio into PropManager for you, free, usually inside 48 hours. You send the exports, we do the rest, and you check the result before anything goes live.
