How to cancel AppFolio: the 30-day notice and the early termination fee
The thing that catches AppFolio customers is not the cancellation, it is the clock. AppFolio's Terms of Service say a subscription renews automatically unless you give written notice of non-renewal at least 30 days before the current term ends. Leaving in the middle of a term is allowed, but it costs an early termination fee of 50 percent of the fees left on the term. Checked 2026-10-05 against the terms last updated January 30, 2026.
The right order
- Find your term end date. Your term is set on your order form, and the 30-day clock counts back from its end. AppFolio's terms say it sends an updated order form for the next term at least 60 days before the current one expires, which is your cue that the window is open.
- Send the written notice early. Email billing@appfolio.com, or send it by USPS or courier to AppFolio, Inc., 70 Castilian Drive, Santa Barbara, CA 93117, Attn.: Billing Department. Keep a copy and the send date. Earlier than 30 days is fine; later is a renewal.
- Export during the notice period. You are paying for those weeks either way, and the terms say you are expected to retrieve your data before the subscription ends. Work through the AppFolio export guide report by report.
- Move rent collection before access ends. Tenant payments through AppFolio stop when the account does. Have the replacement live and tested with at least one rent cycle of margin.
If you are mid-term
AppFolio's terms include an option to terminate for convenience: 30 days' prior written notice, any outstanding fees, and an early termination fee equal to 50 percent of the service fees payable for the remaining period, calculated pro rata. Work out that number before you decide between leaving now and sending a non-renewal notice for the end of the term.
Common questions
How much notice does AppFolio require to cancel?
AppFolio's Terms of Service require written notice of non-renewal at least 30 days before your current term expires. Without it, the subscription renews automatically for the same period as your initial term.
How do I send the cancellation notice?
The terms say written notice of non-renewal must be submitted by email to billing@appfolio.com, or by USPS or courier to AppFolio, Inc., 70 Castilian Drive, Santa Barbara, CA 93117, Attn.: Billing Department.
What happens if I miss the 30-day window?
The subscription renews for another term the same length as your first one. From there, leaving early means paying the early termination fee.
Does AppFolio charge an early termination fee?
Yes. AppFolio's terms let you terminate at any time with 30 days' prior written notice by paying any outstanding fees plus an early termination fee equal to 50 percent of the service fees payable for the rest of the subscription, calculated pro rata. They also say prepaid amounts are not refunded.
Can I export my data during the notice period?
Yes, and that is exactly what the notice period is for. AppFolio's terms say you are expected to retrieve your data before the subscription terminates or expires, and that afterward it may deactivate the service and, following a reasonable period, delete the account and its data.
