How to export your data from Rent Manager
Rent Manager exports your data one report at a time. Open a report and use the export tools on its toolbar: PDF, Excel, CSV, HTML, or text. For anything you plan to load into other software, export to CSV from the grid view, which Rent Manager's own help file calls the format for importing into another program. Checked against the Rent Manager 12 help file on 2026-10-05.
The steps
- Pick the format on purpose. Each report offers Export to PDF, Excel, CSV, HTML, and Text. Use CSV or Excel for data you will reuse and PDF for records you only need to keep. Rent Manager notes that the tools you see depend on the report and on whether you are in print or grid view.
- Export units and tenants with Report Writer. Latchel, a maintenance company, documents the path: go to Reports, expand Report Writer, and select Report Writer Manager. Include all properties, tick Inactive Properties as well, click View Report, then choose Export to Excel or Export to CSV.
- Export the financial history. Rent Manager says it ships with more than 450 built-in reports. Run the ones that carry your general ledger, tenant ledgers and transactions, rent roll, deposits, and payables, with each date range set to cover every year you need.
- Ask about database access if you run Rent Manager Online. Rent Manager advertises an API with read and write access, and Open Access, which it describes as read-only views of your Rent Manager Online database. It does not publish what either costs, so ask your account representative before you plan around them.
- Download your documents. We found no topic in the public help file on downloading attached files in bulk. Download the leases and documents you are required to keep from the records they belong to.
- Check the files against the live system. Match a few known numbers, like one property's rent for a year, before you give up access.
Before you give notice
Rent Manager does not publish its software agreement or a cancellation process. The one terms page on its site covers text messages and says it does not govern use of the software. So the term, the renewal, and the notice you owe are in the agreement you signed. Read it, and ask your account representative in writing how long your data stays available after the license ends.
Or skip the spreadsheet wrangling. We move your entire Rent Manager portfolio into PropManager for you, free, usually inside 48 hours. You send the exports, we do the rest, and you check the result before anything goes live.Related
