How to export your data from Propertyware

Export everything from Propertyware before you cancel, not after. Its Terms of Use say that on cancellation you lose access and everything in the account is permanently and irreversibly deleted. Your data comes out through Reports, which Propertyware says export to Excel and PDF. Checked against Propertyware's Terms of Use and reporting page on 2026-10-05.
The steps
- Export your units. RentCheck, an inspection software company, documents the path: open Reports in the top menu, choose Unit Inventory, then Export/Print, then MS Excel.
- Export your tenants. The same guide: in Reports, choose Lease Reports, then Tenants - Current, then Export/Print and MS Excel.
- Export owners, vendors, and other contacts. Latchel, a maintenance company, documents contacts as a separate download: expand Contact Reports, or build a new report for contacts, then Export/Print and MS Excel.
- Export the financial history. Propertyware keeps its help center behind a login, so we cannot point to a public menu path for ledgers. Run the reports that carry your general ledger, tenant ledgers, rent roll, and payables, set each date range to cover every year you need, and export each to Excel.
- Download your documents. We found no public documentation of a bulk document download. Download the signed leases and files you are required to keep from the records they are attached to.
- Check every file, then cancel. Open the exports and match known numbers against the live account. Under Propertyware's public terms there is no access to go back and check once you cancel.
Why the order matters here
- Cancellation is immediate. The terms say that if you cancel before the end of the term, the cancellation takes effect immediately.
- The data goes with it. They say that on cancellation you no longer have access, and all information in the account is automatically, permanently, and irreversibly deleted.
- Falling behind has the same risk. The terms say data may be irretrievably deleted if the account is 15 days or more delinquent.
