How to export your data from Avail

Sources checked October 5, 2026

Avail has no single export. Your records come out in four pieces: the accounting ledger and the received payments report as CSV files that Avail emails to you, each lease as a PDF, and each rent receipt as a PDF. Export before you close the account, because closing it deletes your payment and lease records. Checked against Avail's support site on 2026-10-05.

The steps

  1. Export the accounting ledger. On the Accounting page, clear your filters first, because Avail says the downloaded file excludes filtered-out entries. Then click the Download icon on the transaction table and open the .csv file Avail emails you.
  2. Export received payments. Select Reports from the left-hand menu, open Received Payments, and click Email Report. The .csv arrives by email. Avail says offline payments you logged by hand appear in it too.
  3. Download each lease. Find the lease, click the three dots or More option, and download it. Each lease saves as its own PDF.
  4. Download the receipts you need. Open a payment and click Receipt to save it as a PDF. Avail says receipts exist for payments made through Avail, not for transactions you recorded by hand.
  5. Do not delete units, leases, or charges first. Avail says deleting a rental unit deletes all its transactions from the Accounting page, and deleting a charge, lease, or unit removes its payments from the Received Payments report. Export, then tidy.

What closing the account removes

Closing an Avail landlord account is permanent. Before it lets you finish, Avail has you confirm four deletions: payment records, lease records, listings and lead communication, and connected bank information. Avail says tenants keep access to their own historical leases and payment receipts.

Or skip the spreadsheet wrangling. We move your entire Avail portfolio into PropManager for you, free, usually inside 48 hours. You send the exports, we do the rest, and you check the result before anything goes live.
